Privacy Policy

How Ajibu Virtual Academy collects, uses, shares, and protects personal information across our website and tutoring services.

1. Information We Collect

We may collect information provided by parents, guardians, learners, and tutors, including names, contact details, account information, learner age or class level, academic needs, lesson history, assessment results, progress records, and communications with us.

When you use our website or learning services, we may also collect device information, browser type, IP address, usage activity, and cookies needed to operate, secure, and improve the service.

Payment providers may process payment details on our behalf. Ajibu does not intentionally store complete card or mobile-money credentials.

2. Children's Information

Ajibu provides learning services for children. A parent or legal guardian must create or approve a child's account and consent to the collection and use of the child's information.

We collect only the information reasonably needed to assess learning needs, deliver lessons, support the learner, communicate with the parent or guardian, and report progress.

If we learn that a child's information was provided without appropriate parental or guardian authority, we will take reasonable steps to delete it.

3. How We Use Information

We use personal information to create and manage accounts, match learners with tutors, conduct assessments, personalize lessons, schedule and deliver sessions, track progress, process payments, provide support, send service updates, maintain safety, prevent misuse, and improve Ajibu's services.

We may send promotional messages where permitted. You can unsubscribe from marketing messages at any time, although we may still send essential account or lesson communications.

4. Online Lessons and Communications

Online lessons may involve audio, video, chat, assignments, and shared learning materials. Sessions are not recorded unless Ajibu gives clear notice and obtains any consent required before recording.

Parents and guardians should help children use the service in a safe, appropriate environment and should not share lesson links or account credentials with unauthorized people.

5. When We Share Information

We may share information with assigned tutors, authorized staff, payment processors, hosting and communications providers, analytics or security providers, and other service providers that help us operate Ajibu.

We may also disclose information where required by law, to protect a child or another person from harm, to investigate misuse, or as part of a business reorganization. We do not sell children's personal information.

6. Storage, Security, and Retention

We use reasonable administrative, technical, and organizational safeguards to protect personal information. No online system can guarantee absolute security.

We retain information only for as long as reasonably necessary to provide the service, meet legal or accounting obligations, resolve disputes, and protect Ajibu and its users. We then delete or anonymize it where appropriate.

Some service providers may process information outside Uganda. Where this occurs, we take reasonable steps to ensure the information remains appropriately protected.

7. Your Rights and Choices

Subject to applicable law, you may ask to access, correct, update, restrict, or delete personal information, withdraw consent, or object to certain uses of information. A parent or guardian may make these requests for a child.

We may need to verify your identity and authority before completing a request. Some information may be retained where required by law or needed for legitimate legal purposes.

8. Cookies

We may use essential cookies to keep the website working and remember account or security settings. We may also use limited analytics to understand how the service is used. Browser settings can be used to control cookies, but disabling essential cookies may affect functionality.

9. Changes to This Policy

We may update this Privacy Policy as our services or legal obligations change. We will post the updated version here and revise the effective date. We may provide additional notice where a change materially affects how personal information is used.
